HOW WE MADE REMOTE-WORK WORK

• Established policies in 2017 addressing short-term and long-term staff remote work.

• All staff workstations converted from towers to laptops with mobile graphic workstations in 2019. All laptops have video conferencing capabilities and provided with remote collaboration software (MS Teams, WebEx, Newforma, OneNote).

• Provided Cisco soft phone technologies on all remote devices in 2017.

• Moved primary project storage to a private cloud environment in 2017 providing easy remote access to project information.

• Developed a phased HR action plan with strategies for maintaining workplace health & safety that could be quickly implemented as community health concerns evolved, and often in advance of local, public health orders.

• A limited number of Essential Staff for Office-Based Business operations remained in the office, staggering days to limit exposure and maintain compliance with public health orders.

• Moved all project BIM models (120+) to BIM 360 cloud-based servers.

• Expanded BIM 360 Design seats to include all Revit staff. Multiple BIM and IT support staff provided remote troubleshooting, problem-solving, addressing questions, providing instructional videos and tutorials on use of new cloud based service technologies.

• Expanded our Virtual Private Network (VPN) capacity, enhanced our Firewalls, and diversified our internet service provider network.

• Office leadership provided weekly updates to staff with transparent, direct communication directly from the Partners. Senior staff was engaged to support communications, address questions, stay in touch with staff.

• Continued to hold monthly office wide Town Hall video conferences to keep staff connected.

• Held Weekly project team and studio staffing calls to keep staff connected.

HOW WE REOPENED OUR OFFICE

• Following detailed planning by our firm leadership, human resource, and safety/security teams, Davis Partnership was proud to reopen our office on May 18th.

• Everyone on our staff is allowed the opportunity to return to the office on a voluntarily basis starting with one day of the week, resulting in no more than 20% of staff present at any one time. Plan is scalable allowing for incremental density increases from 25% to 50% as circumstances and comfort levels improve.

• Staff returning to the office stop at a single entry point vestibule, complete a short on-line self screening questionnaire, sterilize hands, and put on a mask before entering the office.

• Sanitation stations provided around the office for staff to keep workstations, surfaces, keyboards, hands clean. Increased cleaning and disinfecting of high-touch surfaces to three times daily.

• Limited access to communal amenities like refrigerators, coffee pots, glassware.

• One-way office traffic patterns created in main aisleways to minimize compromises in social distancing when employees move throughout the office.

• Graphic signage posted to remind staff on office health & safety policies, social distancing best practices, conference room protocols and density restrictions.
